Update a PMS linked account

A Parkade account can link to a property's resident system (PMS). When it does, the PMS pushes updates to that account automatically, including role. If a staff member's account is the one linked to the PMS, the PMS will keep resetting their role to "member," even after you set it to admin.

The fix: give the staff member two separate accounts. One stays linked to the PMS as their resident profile. The other is a standalone staff account with admin access that the PMS never touches. The two accounts must use different email addresses and phone numbers, or the sync can pull the wrong data into the wrong account.

Example

Jamie works the front desk at Maple Court and also lives there as a resident.

Jamie uses Account 1 as their resident profile. Jamie uses Account 2 for admin access.

Step-by-step

  1. Confirm which Parkade account is PMS-linked. Call this Account 1. The PMS will overwrite any changes to this account, so don't use it for admin-level permissions.

  2. Decide where each phone number and email should live.

    • If Jamie receives texts on 555-0100, that number can't stay in the PMS record. Update the PMS system to use a different number for Jamie's resident profile, freeing up 555-0100 to use on a different profile in Parkade.

    • If Email 1 on Account 1 is a work email, replace it with Jamie's personal email.

  3. Update Account 1 and create Account 2 in Parkade. First, change the phone number to match the number now in the PMS. Update the email on Account 1 in Parkade. Create Account 2 using contact info that doesn't appear anywhere in the PMS. In the example, that's now 555-0100 and jamie.work@maplecourt.com.

  4. Set Account 2's role to admin. Since this account has no PMS link, the role will never change from the PMS.

  5. Have Jamie log out of the app and web dashboard, then log back in using Account 2's phone number or email. This makes sure they're working from the admin account, not the resident one.

One thing to double-check: if Jamie already has notifications, saved vehicles, or payment methods on Account 1, those won't move to Account 2. You'll want to end any reservations on Account 1 and set up new reservations under Account 2. You'll also want to add all vehicles as vehicles on Account 2.
