Property Management System (PMS) Integration

Edited

Parkade can connect directly to your Property Management System (PMS), so resident data integrates with our system automatically. This guide explains what the integration does, which systems it supports, and what to know before and after you enable it.

What the integration does

Your PMS already tracks who lives in your building: units, leases, residents, and vehicles. Parkade's PMS integration reads that information and automatically manages parking access, instead of your team updating Parkade by hand or emailing rent rolls back and forth.

Parkade integrates with:

  • Entrata

  • RealPage/OneSite

  • Yardi

  • RentManager

Each system has its own setup process — Setting up the integration usually requires someone with administrative access to your PMS (usually your IT team). Depending on your PMS, that could be a corporate IT contact, a regional systems administrator, or whoever manages your relationship with the PMS vendor. Loop them in early, since some of these steps can take days to complete on the PMS side.

Your Parkade representative will walk you through the specific steps to integrate with your PMS when you're ready to connect!

What this means day to day:

  • New residents get Parkade access within a few hours of signing their lease, no manual setup needed!

  • Residents are automatically placed in the correct unit/group, so parking rules apply correctly without your team maintaining group assignments

  • Resident vehicles entered in your PMS are automatically synced and added to their Parkade accounts

  • Your team no longer needs to email rent rolls to Parkade for manual review

How the integration works:

Once connected, Parkade automatically reviews your PMS twice a day — once in the morning, once in the evening.

At each sync, a resident is added to Parkade and their building/unit if:

  • They have either 1) a valid phone number or 2) an email on file

  • Their lease status is one of: active, approved, "applicant – lease signed," current, future lease, or notice

  • Their move-out date hasn't passed. If a non-primary resident has no move-out date of their own, Parkade uses the latest primary resident move-out date when every primary resident on the lease has one.

As soon as a resident signs a lease in your PMS, the next sync will pick them up — they don't have to wait until their official move-in date. If your process is to hold off marking a lease as signed until move-in, that resident won't appear in Parkade until the lease is marked signed.

Every resident who's added this way gets an automated welcome email:
